Harmon Brothers is seeking a proactive Executive Assistant to work closely with our Director of Client Success and Strategy. As an Executive Assistant, you will be responsible for managing day-to-day tasks, ensuring smooth communication, and efficient workflow. You will be an integral part of our team and have the opportunity to work with some of the best marketing minds in the industry.
Our executive assistants perform more than administrative tasks; they are often a leader’s right-hand person who enables them to advance company initiatives and goals. They filter and attend to the day-to-day functions that are part of the leader’s role so that they can focus on the high-level leadership and strategy functions.
Responsibilities:
- Manage the Director's calendar and schedule appointments, meetings, and travel arrangements
- Act as a liaison between the Director and internal and external stakeholders, including clients and partners
- Anticipate and proactively address the Director's needs, providing timely and effective solutions
- Ensure that all materials required for meetings, presentations, and events are prepared in advance, with a high level of accuracy and attention to detail
- Manage the Director's emails and prioritize incoming messages, ensuring they are responded to in a timely and professional manner
- Handle confidential and sensitive information with discretion and professionalism
- Build relationships with the Director's colleagues, learn how they work best, and identify opportunities to save them time and effort to focus on what's most important
- Continuously improve processes and procedures to increase efficiency and effectiveness in the Director's office
Requirements:
- 1 year of experience in an executive assistant or support role is preferred.
- Proactive and highly engaged, with excellent communication and interpersonal skills
- Strong attention to detail, organizational skills, and the ability to manage multiple tasks simultaneously
- Demonstrated personal responsibility and ownership of tasks and initiatives, ability to work independently, and meet deadlines
- Willingness to learn and adapt to the Director's work style and preferences
- Proficient computer skills and in-depth knowledge of Google Drive and Zoom
- Knowledge of the direct sales industry and marketing experience is desirable
- Excellent organizational, communication, interpersonal, and planning skills
- Excellent problem-solving skills and decision-making ability
- Attention to detail and accuracy
- Ability to be flexible in a fast-paced and changing business environment, to learn quickly and to change direction on short notice
- Ability to work both independently and as part of a team and to contribute to a positive and energetic company culture
