The candidate will partner with the GPD Chief of Staff in delivering commitments and supporting the day-to-day business operations for the Office of the Chief Development Officer, through the handling of multiple priorities, decision making processes, and information flow, to ensure deadlines and obligations are met. S/He will contribute to the success of crucial GPD initiatives, providing strategic consultancy and operational support on a varied portfolio of activities. S/He will also effectively execute end-to-end management of select project responsibilities related to key GPD Enterprise remits and GPD Leadership Team-related events.
ROLE RESPONSIBILITIES
The major responsibilities will include but are not limited to:
  • Work closely with the GPD Chief of Staff to lead various remits and initiatives regarding enterprise business operations.
  • Develop strong understanding of the organization, pipeline and capabilities, and actively leverage this knowledge to support priorities and commitments.
  • Manage agenda development and materials distribution to support critical executive-level meetings and events: manage and prepare pre-read and presentation materials; track actions to ensure execution and follow up as needed to confirm work is completed; provide meeting management support as required.
  • Manage overall GPD enterprise calendar of events, working with other leadership team members and administrative professionals as appropriate.
  • Manage key culture initiatives and programs, including annual Awards Program from end to end; the New Hire Orientation Program with bi-weekly communications for new hires and organize and new hire orientation sessions; #NICEONE recognition program with identifying monthly selections for leadership acknowledgement.
  • Manage the logistics and planning of meetings and events for GPD LT off sites, Leader Meetings, Town Halls, etc.
  • Support the planning of key domestic and international leadership visits.
  • Prepare reliable, high-quality briefings, talking points, internal and external communications and presentations.
  • Identify opportunities to build and enhance colleague engagement and culture.
  • Address and coordinate requests from various Pfizer stakeholders
  • Partner with People Experience/Communications team to support planning and management of communications needs of the GPD Chief of Staff and Chief Development Officer.
  • Responsible for various shadow mailboxes to issue enterprise communications or partner with Corporate Affairs to follow up on emails received as required.
  • Support the GPD Operations office vision and goals through close partnership with Corporate Compliance to effectively implement operational plans and priorities.
  • Work closely with Chief of Staff to coordinate interviews and assist with onboarding of new leadership colleagues.
  • Take initiative to bring forward ideas for process improvements and more efficient operations.
  • Ensure accuracy of work and use judgment to determine work methods in different situations.
  • Demonstrate expert collaboration and communication skills in a team environment, share knowledge, influence best-practices and coordinate workflow.
Project Leadership:
  • Manage annual GPD Saxton Awards process working closely with GPD Chief of Staff, Communications and HR
  • Act as a leader and/or point of contact for select projects
  • Manage and execute all type of contracts, e.g., sponsorships, grants, etc. which require strong relationships with Procurement, Corporate Affairs and Legal to assess properly the nature of the contracts as well as strong negotiation skills when for instance it comes to select vendors e.g., bidding process.
  • Work in close collaboration with GPD Chief of Staff and finance partner to monitor executive budget to ensure it is aligned with plan by establishing the 2019 financial phasing and presenting actuals at the team monthly meeting which will also be shared with the Chief Development Officer.
  • Apply and adhere to financial and compliance systems/processes.
  • Work independently in self-directed environment and take accountability for decisions and outcomes.
Organizational relationship:
  • Provide highly-organized, highly-efficient operations support.
  • Work with communications to coordinate and implement effective communication initiatives.
  • Work closely with enabling and partner functions such as People Experience, Finance, Corporate Affairs, Legal, Business Technology and Business Development.
  • Interface with key stakeholders (e.g., ELT Chiefs of Staff and Administrative Team, GPD LT members, GPD LT Directors of Business Operations and Administrative Team, and other GPD leaders) to manage and coordinate operational and planning needs.
  • Work well with staff located across various geographies, as well as coordinate schedules and priorities
QUALIFICATIONS
Education
  • Bachelor’s Degree required
Experience
  • 3-5 years of experience in the Biopharmaceutical industry – familiarity with Pfizer, particularly GPD and the President of GPD’s Office, preferred
  • Experienced in managing day-to-day planning and operational activities
  • Experienced in communicating and interacting with senior executive stakeholders
  • Experienced in managing multiple, competing tasks simultaneously; executing complex strategies
  • Demonstrated ability to work collaboratively with diverse teams, across multiple lines; ability to manage a cross functional team of colleagues
  • Demonstrated understanding of systems, structures, and implementing efficient processes

  • Proficiency in MS Word, Excel, PowerPoint, and Outlook are essential

OTHER REQUIREMENTS
  • Back-up to ELT Executive Assistant and flexibility to travel as needed
The annual base salary for this position ranges from $90,800.00 to $151,300.00. In addition, this position offers an annual bonus with a target of 12.5% of the base salary and eligibility to participate in our share based long term incentive program. Benefits offered include a retirement savings plan, paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans. Salary range does not apply to the Tampa, FL location.
Relocation assistance may be available based on business needs and/or eligibility.
