About the role.
DHL Parcel has an opening for a Mail Operations Specialist to join the UK Mail function where they will supervise the handover of downstream access mail into Royal Mail, ensuring accurate operation of agreed procedures between the DHL Parcel UK network and Royal Mail.
This rile will require the role holder to be able to effectively communicate and engage with our customers, deports and mailing houses for supply of containers, collections and operational queries. They will also Ensure sites complete POD reporting of mail handed over to ensure accurate and timely customer reporting and billing.
Key accountabilities and responsibilities will include the following:
- Central control of mail operations across DHL Parcel UK sites for the handover of mail into Royal Mail processing centres nationwide to defined arrival slots.
- Monitor and support network activity to ensure timely scanning and production of Royal Mail billing pre-advice and delivery manifests.
- Ensure notification of delivery exceptions to be able to report accurate customer service performance, and not pay for mail which will not be presented to Royal Mail that day.
- Negotiate with Royal Mail’s central control to allow early/late arrival.
- Ensure 1-4-1 swap out of mail containers at Royal Mail processing centres.
- Manage, report, and resolve any unidentified mail bags or trays within the DHL Parcel UK network.
- Report any customer non-compliance through to account management teams and liaise with operations for resolution.
- Report any DHL Parcel UK handover non-compliance identified by Royal Mail in client reports through to Operations senior management.
What are the requirements?
- Strong skill in communication both written and oral.
- Understanding of DSA Mail procedures is desirable.
- Proficient user of MS applications, specifically Word and Excel.
- Organised and accurate working manner.
- Experience of creating business reports and analysing the data within.
