PURPOSE

· To provide excellent administrative support to the Clinical Teams and wider multidisciplinary team.

· Work effectively and flexibly as part of the Hospice administrative team and as part of the wider multidisciplinary team. This will include working closely with a variety of healthcare professionals.

· The post holder will support the delivery of high quality internal and external communication across the multi-disciplinary Hospice team, acting as a first point of contact for visitors, patients and other staff.

· The post holder will liaise with GP surgeries, district nurses, clinical nurse specialists and other healthcare professionals from external agencies using a range of clerical skills to support delivery of patient care at the Hospice.

Key Tasks and Responsibilities

· Ensure the security and confidentiality of all patient data.

· Use of the EMIS Web patient record system to input clinical data.

· Prepare correspondence, reports and a variety of documents and spreadsheets to required standards: this may require collating data and information.

· Handle telephone calls and other communications sensitively and empathetically, accepting callers may be distressed.

· Implement and manage an online room booking system for the clinical teams.

· Manage stationery requirements.

· Make constant judgements regarding the urgency of information received and the necessity to ensure it is dealt with effectively and appropriately.

· Change own working practices and procedures to actively respond to a changing environment / personal circumstances i.e. development of new technology.

· Prioritise workload accordingly to ensure an effective and efficient service delivery, including dealing with unpredictable workload and tasks.

· Manage the team shared drive to ensure files are updated and old versions archived.

· Ensure client paper records are archived in line with hospice and professional requirements.

· To undertake general office duties such as photocopying, shredding.

· Take minutes for meetings upon request.

· Deep store archiving of medical records.

· Hospice at home admin support.

· Advice line email to GP.

· Liaise with medical admin colleagues to ensure cover for all clinical areas as required.

· Liaise with GP surgeries, DNS, clinical nurse specialist, McMillan community team and other health care professionals.

· Maintain up to date training using e-learning.

· Any other admin required to meet the needs of the in care unit.
