National Records of Scotland (NRS), a non-ministerial office of Scottish Government, performs the registration and statistical functions of the Registrar General for Scotland and archival functions of the Keeper of the Records of Scotland, including maintaining the archives as one of Scotland’s five National Collections. We hold records spanning the 12th to the 21st Centuries, touching on every aspect of Scottish life.

This post is embedded within Preservation Branch, part of the Information and Records Services Directorate. This role offers an opportunity to work in a friendly, supportive team, where you will take part in projects relating to archive preservation, as we continually improve how our 80 km of archives are stored. The team delivers a service to colleagues and external customers who request archives for research or other service delivery purposes. The team also provide a specialist van service for archives between NRS’s sites and, on occasion, from external sites.

You will learn to use NRS specialist systems for handling, managing and tracking archives, and you will carry out manual handling tasks on a daily basis. The role also includes some working at height. Full training will be given for all aspects of the role.
Responsibilities:
  • To provide an efficient and professional archive-delivery service to both customers and NRS staff, ensuring that good handling practices are always observed. Also, maintaining document security by following the procedures detailed in the security manual.
  • To take part in planned moves of archives. These will be mainly on NRS premises, but on occasion you will assist colleagues in their work on third-party premises. To help readers and staff with any general queries concerning ordering and delivery of records. This requires a basic understanding of the computer-based Electronic Ordering System (EOS).
  • To process record transmissions between buildings, including logging of record movements on the Electronic Ordering and Record Location Systems and using correct and appropriate packaging of records for their safe transit.
  • Following training, to operate the box making machine to supply the NRS with standard and tailored boxes and to administer material usage and service user requirements.
  • To take an active role in the good housekeeping of our archive store rooms, by keeping all areas tidy
  • To carry out both reactive and planned re-packaging, re-boxing, and re-labelling of archives in order to maintain good preservation practice, and refer any damaged archive material to Conservation, for specialist assessment.
  • To comply with all NRS H&S processes, including carrying out and documenting equipment checks.
  • In line with preservation duties and needs, work as part of a flexible team to perform other reasonable tasks to maintain service resilience. This will include participating in the cover rota for the NRS van driver.
