Job description
We have an exciting opportunity for a Visa & International Support Assistant to join our Sighthill based team.
The Visa and International Student Support Team is based within the International Operations and Student Recruitment professional services directorate. The directorate supports the delivery of the wider University 2020 and Internationalisation Strategies delivering effective and responsive recruitment, admission and administration services to support the student journey both in Edinburgh and in conjunction with our partners around the world. The Visa and International Support Team lead the University’s Student Visa compliance and International Student Support services. The team are also responsible for issuing Confirmation of Acceptance for Studies (CAS) to all our international students, new and continuing.
The Head of Visa and International Support coordinates all aspects of UK Visas and Immigration (The Home Office) legislation to ensure compliance across policies, procedures, regulations, monitoring and reporting requirements, providing advice and guidance to staff across the University.
The role holder will provide a high level of administrative support to the Head of Visa and International Support and the activities associated with this work. The role holder will play a lead role in issuing CAS, data management and document checking. The role-holder will also be required to provide a high level of customer service to a range of customers.
The Role:
- To assist the Head of Visa and international Support with all aspects of the coordination of the university’s compliance with UKVI immigration legislation, including the monitoring of performance against risks and external measures, maintenance of policy and procedure documentation, and the testing of internal compliance to UKVI requirements.
- To provide support and advice to academic staff, students, applicants and others, specifically relating to the immigration system and our internal processes and procedures.
- To assist the Head of Visa and International Support in developing, maintaining and measuring the various visa related processes that impact on the student journey from recruitment and admission, through matriculation and programme boards through to graduation.
- To play a lead role in the issue of CAS to our international students, including document checking, management of UKVI Sponsor Management System and scholarship allocation.
- To maintain compliance and procedural information on the team SharePoint site, information published on the staff portal and where appropriate on the student portal and external website.
- To provide administrative support to key events, including matriculation, post-programme board activities and the reporting of students to the UKVI.
- To support the Head of Visa and International Support in the preparation for any internal audits or compliance visits by the UKVI and the implementation of any outputs from these events.
- To work in line with the University’s stated values & behaviours.
- To be responsible for ensuring that the information and records processed (received, created, used, stored, destroyed) on behalf of the University are managed in compliance with ALL applicable legislation, codes and policies e.g. Data Protection, Information Security and Records Management
- To undertake duties as may reasonably be requested and that are commensurate with the nature and grade of post.
Who We Are Looking For
- HNC or 3 Highers (to include English) or equivalent.
- Proven experience of delivering in a customer facing service.
- Ability to interpret formal policy documents and provide relevant advice to non experts.
- Development of working procedures to support operational processes.
- Excellent customer service skills.
- Good communication and interpersonal skills.
- Attention to detail.
