The UW-Madison Physician Assistant Program is seeking an Administrative Assistant II to support prospective and current students, faculty, staff, and guests by providing the administrative and logistical support necessary for successful day-to-day operations. This position will serve as first point of contact in the main program office providing information and triaging inquiries to appropriate entities in-person, via phone, and by email. This role requires excellent administrative, organizational, communication, and customer service skills. Collaborative individuals who can think on their feet are encouraged to apply!

- 15% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- 25% Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
- 10% Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
- 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
- 15% Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
- 15% Maintains schedule of classes and student enrollment in the Student Information System (SIS).

Preferred

- At least one year of office support experience
- Proficient use of Microsoft Office
- Excellent written and oral communication skills

- Experience working in higher education
- Experience working with Peoplesoft
- Experience maintaining schedule of classes and student enrollment in SIS (Student Information System)
M-F, with general business hours of 7:45am - 4:30pm or as determined with the supervisor.
Full Time: 100%
This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.
