JOB TITLE: Administrative Assistant II – School Counseling
EducationaL Training / Experience:
Post-secondary training or degree in business, finance, secretarial studies or equivalent combination of education and experience; three or more years of administrative office experience in a school setting, which must have included supervision, organization, coordination, and performance of duties at a responsible level; excellent communication, public relations, and decision-making skills; self-starter; ability to work independently without close supervision; excellent organizational skills; team player; solid background in computer skills; knowledge of budget development and accounting / bookkeeping procedures.
Position Summary
The job of an Administrative Assistant II is to initiate and coordinate the clerical and secretarial functions required for effective operation of school or district offices. The Administrative Assistant II may be called upon to coordinate such office services as purchasing, facilities use requests, bookkeeping, records control and other administrative activities for administration, faculty, staff and students.
WAGE: $17.43- $22.10 per hour
REPORTS TO: Director of School Counseling

Clerical Duties
Performssecretarial functions to support school administration
Provides routine clerical support to faculty and administration
Prepares correspondence, reports including state reports and other departmental material that is often specialized, highly confidential, or technical in nature
Office Operations
Demonstrates knowledge and understanding of policies, procedures and protocols (e.g., registration, transfers, withdrawals, visitors, requisitions, purchase orders, emergencies)
Demonstrates knowledge, use, and care for office equipment (telephone system, paging system, master clock, copiers, fax machines)
Is familiar with functions of other office staff and is prepared to provide occasional coverage for such faculty/staff in their absence, at the direction of the principal
Assists office taff with copying, collating, and distribution of correspondence as needed
Assists students when needed
Financial /Data Management
Manages registration of new students
Demonstrates knowledge, understanding and proper use of software applications related to the position
Manages state reporting
Maintains and updates records in the Infinite Campus student software program
Analyzes office operating practices such as records keeping systems, forms control, office layout, and personnel requirements, creating new systems or revising established procedures
Locates and compiles information and format reports, records and other sources of information
Support to Administration
Assists in maintaining a calendar of appointments
Participates on school-wide crisis management team and safety committee
Coordinates all office procedures in accordance with board policy, emergency guidelines relative to declared emergencies and training drills
Communications
Communicates effectively with students, community members, administration, and staff
Accepts guidance and constructive suggestions
Works cooperatively and constructively with faculty, school staff, administration, & colleagues
Brings concerns / issues through proper chain of command
Demonstrates tact and consideration of others
Establishes and maintains two-way communication with parents, students, and other staff members in an honest, positive, and constructive manner
Responds to inquiries (telephone, email, voicemail) in a prompt and timely manner
Exchanges non-routine information using tact and persuasion as appropriate requiring good oral and written communication skills with parents, community members, faculty, staff, SAU, etc.
Demonstrates knowledge of roles and responsibilities of central administration staff and others so that concerns and issues can be properly referred in a timely manner

Applies information gained through in-service and workshops in performance of duties

Perform other duties consistent with the position assigned as may be requested by the Principal
