Summary:
Receive payment for products or services sold by the dealership and play a key role in maintaining or creating customer satisfaction for the business transaction. Receives callers at the dealership, determines the nature of their business, and directs callers to their destination. Answers basic inquiries, routes incoming calls, takes messages, and provides basic information to all callers.

Responsibilities:
  • Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message.
  • Communicates with callers and visitors in a professional, friendly, and efficient manner.
  • Obtains basic demographic information about each customer, using an ups card, a computer system, a log sheet, or other method established by the dealership.
  • Communicates messages to the appropriate parties in a timely manner.
  • Receives cash, checks and credit card payments from customers: records amount receive
  • Greets customers at the cashier window in a pleasant and professional manner.
  • Computes customer bills.
  • Makes change and issues receipts to customers.
  • Provides refunds or credit memorandums to customers for returned merchandise or as directed by managers.
  • Operates cash register.
  • Reconciles cash drawer daily.
  • Works with department managers to keep abreast of new products and services offered, their features and value, and any changes in price.
  • Refers customer questions about service performed or products purchased to someone who can answer them.
  • Handles customer complaints with integrity and poise and, when necessary, refers dissatisfied customers to the appropriate individuals for resolution.
  • Acts as backup to switchboard operator.
  • Balance out credit card machine daily.
  • Maintain stock numbers and prepare packets for new and used vehicles.
  • Inputs new vehicles into the computer system as directed by the office manager
  • Cross-trains others for this position as directed by management.
  • Provides clerical and secretarial assistance to departments as needed.
  • Fills in for other administrative positions as needed and directed by management.
  • Maintains outstanding warranty schedule(s) with no outstanding warranties over 15 days old.
  • Reconciles warranty accounts and schedules.
  • Maintains accurate filing system of open warranties holding for credit and/or authorization.
  • Follows up with the Office Manager and F & I regarding unpaid claims.
  • Analyzes problems, identifies trends, and develops strategies to maximize claim process.
  • Completes reports as established by dealership.
  • Uses computer and other record keeping systems to manage information.
  • Applies information found in manuals, publications, bulletins, and other documents.
  • Understands and adheres to manufacturer and all warranty procedures.
  • Provides technical information and assistance to employees as needed.
  • Inputs claims and credit memos; prepares outstanding adjustments for variance or unapproved warranties.
  • Identifies and supports opportunities for methods/process improvement.
  • Promotes cooperation and teamwork through actions.
  • Prioritizes work to ensure all deadlines are met.

  • Must be able to multi-task with numerous interruptions.
